Privacy Policy
This policy explains how Syllink collects, uses, stores and discloses personal information when providing its website, classroom and online learning features, and the choices available to you.
Syllink is currently operated by its development team and remains in development and testing. This policy applies when you visit the website, register, upload learning materials, capture audio, transcribe, translate or use AI learning features. Contact support@syllink.com to ask about processing or exercise your privacy rights.
1. Information we collect
Account and sign-in information. When you register or sign in by email or an available third-party method, we process your email address, account identifiers, verification results, and any nickname and profile image you authorize. Your selected provider handles third-party authorization. We do not receive the password to that third-party account.
Learning profile and preferences. These include the name, role, learning goals, referral source, subjects, language and appearance preferences you provide, and learning plans or exam dates you enter. We use them to set up your learning space, personalize presentation, and restore progress. We do not infer missing optional answers.
Learning content and activity. These include subject and classroom names; uploaded PDFs, Word documents, presentations, images and other materials; classroom recordings, transcripts, translations, annotations and manual notes; AI questions; generated notes, minutes, mind maps and flashcards; and related timestamps, study progress, feedback and sharing settings. What we process depends on the features you use.
Device, operational and support information. We or our service providers may process IP addresses, browser and device information, request times, feature usage, error states and security logs needed to operate the service. If you contact support, we also process the emails, descriptions and attachments you send. Online support saves conversations, messages and processing times associated with your account and provides the current question and necessary context from that conversation to Syllink AI Support. It does not automatically attach your lesson text, courseware or recordings. Provide only what is needed and never send passwords or verification codes.
2. How we use information
We use this information to create and verify accounts; provide and sync learning content; perform the speech and AI processing you request; save study progress; manage sharing permissions; enforce usage limits; handle support and privacy requests; and maintain service security and reliability. Features such as classroom insights and material outlines may automatically organize relevant content when you use a classroom or upload materials.
If information needed for account verification or a particular feature is unavailable, that feature may not work. You can adjust learning preferences, microphone use and sharing through the available product controls. We do not currently sell personal information or use advertising trackers for cross-site targeted advertising. Information from third-party sign-in is not used for advertising or marketing.
Where required by applicable law, the relevant grounds for processing include providing the service you request, your valid consent, compliance with legal obligations, and legitimate interests such as protecting accounts and service security. Where processing relies on consent, you can withdraw it without affecting lawful processing already completed.
3. Recording, live transcription and translation
The webpage captures sound only after you start classroom audio capture or a Sylli voice conversation and grant browser microphone permission. Before recording, obtain any necessary permission from participants and follow your school’s, instructor’s and local recording and privacy rules. Pausing, stopping or exiting the relevant capture feature stops further audio capture for that feature.
Live classroom transcription and enabled Sylli streaming recognition send audio from the browser to Soniox for speech recognition and enabled text translation. Other supported recognition paths may send audio through our server to Qwen. When spoken interpretation is enabled, translated text is also sent to the configured speech service to synthesize audio. Text translation and spoken playback are separate processing steps.
When classroom recording is enabled, audio is encoded into segments and uploaded to private file storage for playback. Unsynced segments may remain temporarily in the current browser during a network interruption and be retried when connectivity returns. Closing the page or clearing local data can lose unsynced segments. Playback is restricted by account permissions and temporary access links. A share may include a recording only when you explicitly choose to include it.
4. Document processing and AI learning features
Reading and organizing documents. Uploaded materials are stored privately in association with your account. Depending on the format and feature, the browser or server reads, converts or extracts the required text and page information to display documents, locate outlines, or generate notes, minutes, mind maps or flashcards. Automatic outlines may first use a file’s bookmarks and then, where needed, ask a model to analyze extracted text.
AI questions, insights and study-material generation. To perform the relevant task, we send questions, images you submit, relevant document text or multi-page extracts, required saved and current captions, notes, minutes, insights and limited conversation context through our server to the configured AI model. A backup model may handle a request when the primary service is unavailable. Classroom insights are organized automatically as finalized captions arrive. Generated insights, quotations, study materials and related progress may be saved to your account according to the feature.
AI region selection. When you select a document region and request analysis, its screenshot and the necessary question are submitted through our server to a vision model. Region-analysis requests do not include a download link to the entire document. Previews, questions and explanations may be cached in the current browser by account and classroom. Results you separately save as notes or other materials follow the retention behavior of that content.
Sylli AI mentor. Voice conversations involve speech recognition, model processing of required lesson materials and conversation context, and speech synthesis of reply text. The mentor conversation does not separately save a raw recording. Classroom audio capture and mentor voice do not run at the same time. Previously saved classroom recordings remain subject to the classroom recording process. Guided review saves the review route, source references, current question, attempt and hint state, and progress so you can continue studying. Notes or tasks you confirm for saving may also be stored in your account. Temporary voice quota receipts validate usage and contain no audio or dialogue text.
AI providers receive the content needed to fulfill a request. They may also process and retain request data for security and compliance under applicable service terms; specific rules depend on the service and configuration. Please avoid submitting sensitive information unrelated to the task. Generated results can be inaccurate; check the original sources. AI features do not make legally binding or similarly significant decisions on your behalf.
5. Sharing and disclosure
Your learning materials are restricted by account access permissions by default. If you share content, the selected items become accessible to other users who meet the share’s access requirements. The publishing option for study materials currently still requires viewers to sign in; it does not publish your entire account or all classrooms. Publication review sends the selected content’s text and necessary page images to the configured AI moderation service. Recordings are included in a relevant share only when explicitly selected.
Transcript-link sharing uses a different access method. Once enabled, people with the link may view the shared classroom captions without signing in, including live captions while sharing is active. Share links carefully and use the available controls to stop or revoke sharing. We may be unable to retrieve content that recipients have already downloaded, copied or captured.
We may also disclose information to the service providers below as needed to operate the service, or as necessary to respond to valid legal process, comply with legal obligations, and protect users and service security. Using an AI feature does not give model providers access to your third-party sign-in account.
6. Service providers
We use the following services to support the relevant features. What they receive depends on the features you use, enabled services and current configuration. A provider’s inclusion here does not mean it receives your learning content on every visit.
| Service | Function | Information involved |
|---|---|---|
| Supabase | Authentication, database and legacy file storage | Account information, learning records, progress, permissions, file indexes and legacy stored content. |
| Cloudflare | Private file storage, uploads and security verification when enabled | R2 processes recordings, uploaded materials and related images. When Turnstile is enabled, security verification processes necessary network and browser information and verification results. |
| Vercel | Website and server API hosting | Request information, necessary operational logs and feature requests processed by the server. |
| Soniox | Live speech recognition and text translation | Audio, language settings and required context submitted for enabled recognition and translation. |
| Qwen / DeepSeek | AI text, image and enabled speech processing | Task-related text, selected-region screenshots and limited context; audio or synthesis text for relevant speech paths. |
| ElevenLabs | Enabled speech synthesis | Replies or translations to synthesize, plus voice and language settings. |
| Resend | Service emails | Recipient email and the name, classroom title, timestamps, completion status and classroom link needed for the email. |
| Sentry | Filtered error monitoring | Technical information such as error types, code locations, modules, API states and versions. |
| GitHub Actions | Technical fault diagnosis and fix validation when enabled | Further-filtered technical error labels, code locations and versions; classroom content and account details are not repair inputs. |
| PostHog | Optional product analytics enabled with your consent | Pseudonymous identifiers, limited page-visit and feature-use events, interface language, device category and network information needed to connect; no account email or learning content. The current project is configured not to retain IP addresses in analytics records. |
Error monitoring filters out classroom text, documents, recordings, screenshots, notes, account details, login tokens and temporary file links. Session replay is not enabled. Connecting to a service still involves necessary network information. Your selected third-party identity provider also processes authorization requests under its own rules.
7. Storage locations and international processing
Syllink uses services in different regions. The current account database project is located in Singapore, the Soniox real-time transcription project uses the United States region, the current Sentry organization uses the United States data region, and optional product analytics uses a PostHog project in the European Union region. Cloudflare R2 storage locations depend on service configuration and cannot be inferred from an access address. AI, speech, email, hosting and network services may also process necessary information outside your country or region.
Privacy rules in these locations may differ from those where you live. We use access controls, encrypted connections and applicable service agreements to protect transfers and processing. Where applicable law requires additional notice, consent or other transfer arrangements, we will follow those requirements. You can contact us at the address on this page to ask about processing relevant to the features you use.
8. Cookies and local storage
The website uses browser local storage, session storage, IndexedDB and similar technologies to maintain sessions, save language and appearance preferences, recover editing and uploads, and cache study progress and necessary content. Authentication or security services may also use cookies and similar technologies. Your browser may store account name and avatar presentation caches, tutorial completion state, note drafts, unsynced recordings or region-analysis records. Cached presentation never replaces verification of actual account permissions.
You can restrict or clear this data in browser settings. Doing so may sign you out or remove preferences and unsynced content. Signing out, revoking third-party authorization or clearing local data does not delete cloud learning content or your account. We do not use advertising cookies.
Optional product analytics. Only after you select “Accept analytics” or enable it in custom settings do we use PostHog. Pseudonymous identifiers, limited page-visit and feature-use events, interface language and device category help us improve the product. Events do not contain account emails, materials, recordings, captions, notes or question content. We do not enable automatic click capture or session replay, or use this analytics for advertising. Declining does not affect classroom or study features.
Your privacy choice is stored in the current browser for 180 days, after which we ask again. You can change your choice or withdraw consent at any time through Privacy settings in the page footer or account menu. Withdrawal stops future analytics. To request deletion of previously sent analytics records, contact support@syllink.com. Clearing browser data also removes the local choice, so we will ask again on a later visit.
9. Retention and deletion
We retain undeleted account information, learning content and progress for as long as needed to provide the service. Different data has different retention periods. Account content is generally kept while you use the service until you delete it or make a valid deletion request. Drafts, temporary requests, usage records and security records follow their purpose and cleanup rules.
Optional product analytics events currently have a three-calendar-month retention setting. Events older than that window are deleted during the provider’s next monthly cleanup. This is not a strict 90-day retention limit.
You can delete supported materials or classrooms in the product. Lessons that support the recycle bin can be restored within 7 days (168 hours) after being moved there. They enter background cleanup after expiry or an explicit permanent-deletion action. This does not mean every individual file is retained for 7 days or physically erased at the instant of expiry. Cleanup of files and associated records may take time. Provider backups, necessary security records or information that must be retained by law may continue to exist for a limited period.
To request deletion of your account and associated data, email support@syllink.com. We will verify the request, explain what can be processed and inform you of the outcome. The account-settings deletion entry currently points to this policy and contact channel; it is not an immediate account-deletion action. Keep any originals you need before clearing or deleting content. Recovery of unsynced local content cannot be guaranteed.
10. Information security
We protect learning content using account-level access controls, non-public file storage, restricted temporary links and encrypted connections, and limit access to what is needed for processing. Shared content is accessible according to the permissions you enable. No online service can guarantee absolute security. Protect your account and devices and contact us if you notice unauthorized access.
11. Your choices and privacy rights
You can correct profile information and preferences using available settings, stop capture, revoke microphone permission, disable sharing, or revoke authorization with a third-party sign-in provider. Optional service emails, such as minutes-completion notices, can be disabled through the relevant setting. You can adjust optional features through the available controls. Submitted background tasks, automatic organization features and saved content still follow the processing described in this policy. These choices do not automatically undo completed processing or delete saved data.
Depending on applicable law and your circumstances, you may request access, correction, export or deletion of personal information, withdraw consent, or request restriction of or object to particular processing. Email support@syllink.com with your account email and request. Do not initially send identity documents or passwords. We may ask for reasonable identity verification and will respond as required. If we cannot fulfill a request in full, we will explain why and the available next steps.
Where applicable law gives you the right to complain to a local data-protection or privacy authority, you can exercise that right. Exercising privacy rights does not itself result in improper discrimination. Deleting necessary information or stopping relevant processing may make dependent features unavailable.
12. Children and young people
Syllink is intended for general learning use and is not specifically directed at children. Users below the age for independent consent in their location should use it only where permitted by applicable law and with any required guardian consent and guidance. Do not upload children’s personal information without authorization. If you believe we have processed a young person’s information without the necessary authorization, contact us below so we can investigate and take appropriate action.
13. Changes to this policy
The product is still in development, and features, providers and data-processing practices may change. We will show the update date on this page. For material changes to purposes, recipients or privacy rights, we will provide notice in the product or through another appropriate channel and obtain renewed consent where required by applicable law. We will also update identity and contact details when the operator formally changes.
